Cockerel Culture is committed to protecting your privacy and handling your personal information responsibly. We aim to solely collect the information necessary to provide our services and operate our business.
CONTACTING US AND MAKING ENQUIRIES
When you contact Cockerel Culture through our website, we may collect personal information that you voluntarily provide.
The information collected depends on the nature of your enquiry.
General enquiries
When you submit a general enquiry, we collect your name, email address and the information contained within your message.
Call back requests
When you request a call back, we collect your name, telephone number and email address. You may also choose to provide a preferred time for us to contact you.
Hub and room enquiries
If you enquire about a room or space at the Cockerel Culture Hub, we may collect your name, email address, telephone number, expected number of attendees and information about the activity or event you are planning.
How we use enquiry information
Information submitted through our enquiry forms is used to manage and respond to your request and provide the information, assistance or service you have requested.
Submitting an enquiry does not automatically subscribe you to marketing communications.
Enquiries are recorded within our systems before an email notification is generated. This provides us with a reliable record of your request and helps prevent enquiries from being lost if an email notification is delayed or fails to send.
Where applicable, a copy or confirmation of your enquiry may also be sent to the email address you provide.
How long we retain enquiries
We retain enquiries for the period reasonably necessary to respond to and manage your request and for an appropriate period afterwards in case further correspondence is required.
We are currently formalising the specific retention period that applies to website enquiries. Once established, this Privacy Policy will be updated accordingly.
You may request the deletion of an enquiry at any time, subject to any information we are required or otherwise permitted to retain.

WHEN YOU MAKE A PURCHASE
When you place an order with Cockerel Culture, we collect the information necessary to process and fulfil that order.
This may include your:
- name
- delivery address
- email address
- telephone number, where required for delivery
- details of the products or services purchased
Payment processing is handled by Stripe. Your full card details are not provided to or stored by Cockerel Culture.
We retain appropriate order and transaction records for accounting purposes, the management of returns and refunds and any other period for which we are required to retain them.
DESIGN BRIEFS AND UPLOADED ARTWORK
Where you ask Cockerel Culture to create or personalise an item, you may be given the option to upload images as part of your design brief.
The design brief currently allows up to four images to be uploaded, with a maximum file size of 15MB per image.
The provisions in this section apply specifically to files uploaded as part of a design brief.
Information contained within uploaded files
We process the images you upload together with information such as the file name and file size.
An image may itself contain personal information. For example, photographs containing you, family members, friends or other identifiable individuals may constitute personal data.
You should ensure that you have the appropriate permission to provide photographs or other images containing identifiable individuals before uploading them to Cockerel Culture.
How we use your artwork
Artwork and images submitted as part of a design brief are used only for purposes connected with your request. This includes reviewing your brief, assessing the proposed design, providing a quotation where applicable, producing the requested item and managing any related delivery or customer service requirements.
We do not use customer-submitted artwork for our own marketing, sell it to third parties or use it for the purpose of training artificial intelligence systems.
What happens when an image is uploaded
Uploaded images are transferred directly from your browser into private storage.
The file initially enters a temporary holding area. A new version is then created using the image data required for the design process.
This process removes technical metadata associated with the original image, including location information that may have been recorded by the device used to take the photograph.
Once the processed version has been created, the original file is deleted. Files left within the temporary holding area as a result of an unsuccessful upload are removed within one hour.
Cockerel Culture does not retain a version of your uploaded image containing its original location metadata.
For operational purposes, we retain a high-resolution version suitable for production and a smaller version suitable for previews.
Both versions remain private. Uploaded artwork is not made publicly accessible. Where members of the Cockerel Culture team need to access an uploaded file, access is provided through temporary links that expire.
Who has access to your artwork
Cockerel Culture carries out its printing in house. Customer artwork is therefore not routinely transferred to an external printing company or design agency for production.
Supabase provides the private storage used for uploaded files and Resend is used to deliver relevant email notifications, which may include a small preview of the submitted artwork.
These service providers process information in connection with the services they provide to Cockerel Culture and do not receive customer artwork for their own purposes.
Storage location
Uploaded artwork is stored using Supabase servers located in Ireland, within the European Economic Area.
Based on the systems described in this policy, Cockerel Culture's records and uploaded artwork are stored within the UK or European Economic Area.
Retention and deletion of artwork
We operate defined retention periods for artwork submitted through our design brief.
If you upload an image but do not submit the associated design brief, the uploaded file is automatically deleted after 24 hours.
While a design request remains active, the associated artwork is retained for the duration of that request.
Once a design request has been completed or declined, the associated artwork is retained for 90 days. This enables us to respond to reasonable queries, complaints or reprint requests without requiring the files to be submitted again.
Following the 90-day retention period, the artwork is automatically deleted. The remaining record contains only the relevant file name and the date on which the file was deleted.
Deletion processes for these files operate automatically.
If you decide not to proceed with an active request, you may contact us and ask for the request to be closed and the associated artwork deleted.
You may also request earlier deletion of your artwork. Where the artwork is already actively being used in the production of your order, immediate deletion may not be possible until the relevant production process has been completed.
MEMBERSHIP SIGN-UP AND YOUR PREFERENCES
If you join Cockerel Culture membership, the sign-up form asks more of you than anything else on this site. This section covers that form, the record it creates and what happens to it.
What we collect when you join
Your name, your email address, your mobile telephone number, your date of birth and your home address.
Your answers to the questions about football: the players, colours, kits and eras you tell us you like.
What you have told us you want to hear about, whether you have agreed to receive marketing from us, and whether you asked to be contacted by email, by text message or by post.
A record of the membership itself: when it started, whether it is running, and when the next payment is due. Payment is handled by Stripe on their own systems and your card details are never sent to us.
Why we ask for your date of birth
Only to check that you are 18 or over, because membership is a paid monthly subscription and we do not offer it to under 18s. We do not use your date of birth for anything else, and we do not send you anything on your birthday because of it.
We keep the date itself rather than only the yes or no answer. If the rule ever changes we can check it again against what you already gave us, instead of asking everybody a second time.
The football questions, and the lawful basis for them
The lawful basis for those answers is your consent. You do not have to answer any of them and your membership is exactly the same if you do not.
We use those answers to decide what to show you and what to send you. That is profiling for marketing purposes, and we would rather say so in those words than describe it as personalising anything.
We do not use them to make any decision that has a legal or similarly significant effect on you, and we do not sell them.
How to withdraw your consent
You can withdraw your consent at any time. Email us and we will stop, and every marketing email we send also carries an unsubscribe link that does the same thing. You do not have to give a reason.
Withdrawing your consent to marketing does not cancel your membership, and cancelling your membership does not by itself withdraw your consent. They are two separate things and you can do either one without the other.
Text messages and post
The form lets you say that you would prefer a text message or a letter. We are not able to send either yet. We store your preference so that we can honour it when we can, and in the meantime we email you whatever you chose, because the alternative would be sending you nothing at all about a payment you are making every month.
If you start signing up and do not finish
The form asks for your details before it asks for payment. If you reach the payment page and do not complete it, we keep what you have filled in for 30 days so that you can pick it up where you left off. That is the only reason we keep it.
You are not a member and we do not treat you as one. We do not market to you on the strength of an unfinished sign-up, unless you separately agreed to marketing while filling the form in, which is a permission of its own with its own record.
After 30 days the unfinished record is deleted automatically. You can ask us to delete it sooner and we will.
How long we keep a membership record
For as long as you are a member, and afterwards for as long as we need it for our accounts and to answer a query or a complaint about a payment. We have not yet set a period for that, and we would rather say so here than print a figure we do not keep to. It will be stated on this page once it is set.
SERVICE PROVIDERS AND THIRD PARTIES
Cockerel Culture uses selected third-party service providers to operate its website, process transactions and deliver its services.
These include:
Stripe
Stripe provides payment processing services. Payment card information is processed through Stripe's systems and is not stored by Cockerel Culture.
Resend
Resend is used to support the delivery of emails and internal email notifications associated with our website and services.
Supabase
Supabase provides infrastructure used to store certain Cockerel Culture records and customer-submitted artwork. The Supabase servers used for this website are located in Ireland within the European Economic Area.
Vercel
Our website is hosted using Vercel.
Sanity
Sanity is used to manage content displayed through our website.
These providers support the operation of Cockerel Culture and its website. We do not provide customer information to these companies for their own independent marketing purposes.
MARKETING COMMUNICATIONS
Submitting a general enquiry, call back request, Hub enquiry or design brief does not automatically subscribe you to Cockerel Culture marketing communications.
Where we offer the option to receive marketing communications, we will use your information for this purpose only where we have an appropriate basis to do so.
You can unsubscribe from marketing emails at any time by using the unsubscribe option contained within the relevant email.
Where our use of your information is based on consent, you may withdraw that consent at any time.
PROTECTING YOUR INFORMATION
We take reasonable measures to protect the personal information entrusted to us.
Access to personal information and customer-submitted artwork is limited to where it is required for the operation of our business and the delivery of our services.
Uploaded artwork is held privately and access to those files is provided through expiring links where appropriate.
Although no method of electronic storage or transmission can be guaranteed to be completely secure, we take appropriate steps to reduce the risk of unauthorised access, loss, misuse or disclosure.
DATA RETENTION
We retain personal information only for as long as reasonably necessary for the purpose for which it was collected and to meet any applicable operational, accounting or record-keeping requirements.
Different categories of information may therefore be retained for different periods.
In particular:
- unsubmitted design brief images are deleted after 24 hours
- artwork associated with an active design request is retained while that request remains open
- artwork associated with a completed or declined request is retained for 90 days before automatic deletion
- order records are retained for the period required for accounting, returns and associated business requirements
- website enquiries are retained while being dealt with and for a reasonable period afterwards, with a specific retention period currently being formalised
Where information is no longer required, it will be deleted or otherwise securely disposed of in accordance with our processes.
YOUR DATA PROTECTION RIGHTS
Depending on the circumstances and applicable data protection law, you may have rights in relation to the personal information we hold about you.
These may include the right to:
- request access to personal information we hold about you
- request that inaccurate or incomplete information is corrected
- request deletion of your personal information in certain circumstances
- withdraw consent where our processing is based on your consent
- object to or request restrictions on certain uses of your personal information, where applicable
You may also unsubscribe from marketing communications at any time using the unsubscribe link provided within our marketing emails.
